We are seeking a Wedding Coordinator to join our dynamic team and help bring couples' dreams to life. As a Wedding Coordinator at Orion Hotels & Resorts (South Africa) you will play a pivotal role in orchestrating and executing flawless weddings, ensuring that every detail is perfect and that each moment is memorable.

The ideal candidate will have strong attention to detail, exceptional communication skills, and the ability to handle multiple tasks simultaneously. The Wedding Coordinator will work closely with brides, grooms, and their families as well as the chosen venue Hotel staff to ensure a smooth and memorable wedding experience. The Wedding Coordinator will be based at our Head Office in Parktown, Johannesburg but will be expected to travel extensively.

Responsibilities: Consult and collaborate with clients to understand their wedding vision, preferences, and budget.Coordinate and manage all aspects of the wedding planning process, including vendor sourcing, and contract negotiation.Assist clients in developing unique wedding concepts, themes, and designs.Create detailed wedding timelines and budgets for clients, ensuring all tasks are completed on schedule and within budget.Arrange and attend vendor meetings, site visits, and contract signing sessions.Provide recommendations and liaise with vendors for catering, floral arrangements, photography, videography, music, transportation, and entertainment.Arrange and coordinate all wedding logistics, including but not limited to menu planning, wedding cake, guest accommodation, transportation, and seating arrangements.Collaborate with clients to design and execute a personalized wedding timeline, including the ceremony, reception, and any additional events.Provide on-site coordination and support during the wedding day, ensuring all vendors, guests, and the wedding party are well-informed and adhering to the schedule.Manage any unexpected issues or changes that may arise during the planning process or on the wedding day, finding appropriate solutions while keeping clients informed and satisfied.Oversee the setup and breakdown of the wedding ceremony and reception venues, ensuring everything is arranged to clients' specifications.Maintain a comprehensive record of all wedding-related documents, contracts, and communication with clients and vendors.Stay updated on the latest wedding trends, industry regulations, and best practices to provide clients with the most up-to-date advice and options.Provide exceptional customer service, promptly addressing any client concerns or inquiries throughout the planning process.Attend Industry events in order to promote Weddings and other events at our Hotels, as and when necessary. Requirements: Grade 12 and / or equivalent qualification.A tertiary qualification in hospitality management, event planning, or related field is advantageous.
Must have valid driver's license and own reliable transport.Proven experience as a wedding coordinator or event planner.Exceptional organizational and time management skills, with the ability to multitask effectively.Strong attention to detail and a creative mindset for wedding design and execution.Excellent verbal and written communication skills, with the ability to effectively collaborate with clients and vendors.Ability to work under pressure and adapt to changing circumstances with a positive attitude.Proficient in using event planning software and Microsoft Office Suite.Knowledge of vendors, industry standards and regulations.Willingness to work flexible hours, including evenings, weekends, and holidays as required by the wedding schedule.Ability to travel to various hotels and locations for client meetings, site visits, wedding coordination and industry events.The Wedding Coordinator will be an integral part of our team, ensuring that our clients' weddings are flawlessly executed, leaving lasting memories for the couples and their guests.
