We are currently on a search for a receptionist who will be based in Durban Jacobs , they will be responsible for serving as the front-facing representative of the organization and will be responsible for providing exceptional customer service to visitors, clients, and employees. This role entails managing the front desk, handling incoming calls, and performing various administrative tasks to ensure the smooth operation of the office.
KEY RESPONSIBILITIES:
Welcome visitors and clients in a friendly and professional manner.Provide information about the organization, products, or services.Answer incoming phone calls promptly and courteouslyDirect calls to the appropriate individuals or departmentsTake accurate messages and relay them in a timely mannerMaintain a clean and organized reception areaSort and distribute incoming mail and packages to the appropriate recipientsPrepare outgoing mail and arrange courier services when necessary.Assist with basic administrative tasks, such as data entry, filing, and organizing documents.Provide administrative support to various departments as neededMonitor and restock office supplies, such as stationery, etcCoordinate with the office manager to order necessary supplies.Follow safety protocols to ensure the well-being of employees and visitors.Manage email inquiries and respond appropriatelyCoordinate internal communication, such as announcements or memosAssist in planning and organizing company events and meetingsHelp with setting up meeting rooms and arranging necessary equipmentAd-hoc projects MINIMUM REQUIREMENTS
Diploma or Associate qualification in communication or business or related field.Proven experience as a receptionist or in a similar customer-facing roleExcellent communication and interpersonal skillsStrong organizational abilities and attention to detailProficiency in using office equipment, such as a multi-line phone system and computerFamiliarity with office software, including word processing and spreadsheet applicationsProfessional appearance and demeanourAbility to handle multiple tasks and prioritize effectively.Knowledge of security and safety practices.Ability to adapt and remain calm under pressureStrong analytical and problem-solving skills.Ability to manage multiple priorities and work under pressure.Fluency in multiple languages is an advantage Please be advised if you haven't been contacted within 30 days then your application is unsuccessful.
