The purpose of the role is to maximize the financialperformance of the property portfolio, maintaining the buildings according toaccepted business standards and managing tenants and staff.
Financial performance of theportfolio
Prepare and refine portfoliobudgets in line with agreed assumptions and other relevant information todetermine the targets to be achieved for the financial year. Review and report monthly onfinancial and operational performance of portfolio against budgets andtargets achieved. Update of notes and commentswithin deadlines as required for reporting purposes. Assist and providesupporting calculations/information to finance team for completion ofreasonable forecast. Maximize income through leasingfocus
Conclude lease renewals inline with market conditions, understanding of tenant's needs, targets andturnaround times. Evaluate and recommendrent/other reductions to retain tenants considering guidelines, marketconditions and vacancies. Improve income and decreasevacancies, by concluding deals with new tenants in line with targets. Observation of marketactivity, competitors and trends in the area and make recommendations onappropriate leasing strategies and new opportunities. Contribute ideas in terms ofmarketing campaigns to let vacant units and maximize income. Review and ensure tenant mixat buildings contribute to the overall performance of the buildings and toattract prospective tenants and customers. Build and maintainrelationships with external brokers. Ensure leasing processes,procedures and approvals are followed. Accurate and timeous update ofvacancy list, deals done and other relevant leasing data. Ensure vacant units are in alettable condition by conducting regular building visits. Cost Management and BuildingOperations
Ensure that buildings areformally inspected, managed and maintained in line with Company standards.Submit inspection forms as per requirements. Ensure vacant units are in alettable condition. Monitor and manage budgetedexpenses items in line with planned timelines. Ensure maintenance concernsreported by tenants and in general are escalated internally and resolvedsuccessfully. Ensure the work done andquality of services provided by outsourced contractors (e.g., cleaning,security, etc.) as well as maintenance teams are monitored and reviewedcontinuously. Consider and recommendchanges to outsourced services and staff compliment (security guards,building staff, cleaners, rubbish removal changes, etc.) to achieveoptimal financial and operational performance. Ensure stock controls areimplemented, maintained, and monitored on a monthly basis. Review, evaluate and overseesignage at the buildings. Motivate upgrades andimprovements to buildings where these are deemed necessary. Review and monitor water,electricity and other utility costs and services provided. Monitor parking and accesscontrol and ensure collaboration with support (if relevant). Guide Leasing in terms oftenant retention and related aspects to consider during leasing processes. Ensure risks are identified,reported, and managed in line with the Company's Risk Policy. Ensure operational andadministrative policies, procedures and approvals are followed. Credit Control and Collections
Monitor and guide CreditControl team in decision making to manage arrears optimally. Ensure tenants with materialarrear balances are met to discuss options in order to collect onoutstanding amounts. Ensure files for LegalHandover are recommended, reviewed, and actioned appropriately. Build relationships with tenants,internal and external parties.
Manage customer servicematters in line with Company standards and within agreed service levels. Communicate and work as ateam with other departments. Achieve the requiredrelationships with tenants, owners, contractors, and otherexternal/internal parties. Clear communication,presentation and reporting at various forums. Staff Management
Oversee work of subordinatesand conduct performance reviews as per agreed policies. Guide and mentor buildingstaff to obtain desired objectives and performance. Manage poor performance whennecessary, in consultation with HR and Portfolio Manager. Provide constructivefeedback to subordinates regarding their performance
Requirements 3 Years' experience in aProperty environment, preferably Property management.
Tertiary qualificationsuitable to the Property environment (Preferrable).
