Responsibilities: General Office Administration:Manage petty cash, including disbursing cash for authorised expenses, reconciling cash on hand, and replenishing the petty cash fund as needed.Manage the G4S cash collection process to ensure money is properly counted and handed over for collection.Managing the cleaner at the branch to ensure overall cleanliness at the branch.Order and control cleaning supplies, stationery and groceries, monitor stock levels, and place orders when necessary.Reception, cashier and filing duties may be required from time to time.Customer Credit Duties:Receive and review claims from customers seeking credits, verifying claim details and supporting documentation.Prepare accurate documentation for each claim on the ERP system, ensuring compliance with internal policies and legal requirements.Liaise with relevant departments to gather necessary information and resolve discrepancies related to credits.Assist debtor clerk in resolving internal account queries at the branch.Ensure credit notes are emailed to the customer.Supplier Return Duties:Initiate and facilitate the return authorisation process with suppliers or vendors.Communicate with the purchasing department to obtain necessary approvals and documentation for return requests.Prepare and maintain accurate documentation for each return, including return forms, shipping labels, and packing slips.Organise and update return files for easy retrieval and reference.Process returns requests in a timely and accurate manner.Coordinate with warehouse team to ensure the proper handling, storage, and tracking of returned products.Maintain effective communication with suppliers or vendors regarding return status, resolution, or any additional information required.Collaborate with the finance or accounts payable department to initiate the credit or refund process for returned products. Minimum requirements:MatricPrevious experience in a similar role preferred, with a strong understanding of financial transactions and administrative processes.Proficiency in Microsoft Office Suite and experience with ERP systems.Excellent communication and interpersonal skills, with the ability to interact professionally with customers and colleagues.Strong attention to detail and the ability to prioritize tasks effectively in a fast-paced environment.Commitment to maintaining confidentiality and adhering to company policies and procedures. Please consider your application unsuccessful if you have not received a response within two weeks of applying.
