The ideal candidate with the following experience might be considered: Purpose of the role: A new vacancy for an Executive Assistant has become available at our Johannesburg branch. This person is required to assist with a wide variety of executive secretarial and administrative duties to facilitate daily operations for the executive team and HR Department. Main duties will include but will not be limited to: Assist the Managing Director and the executive committee with a variety of responsibilities and special projects. Maintain the calendar for the executive committee; schedules meetings as needed. Making travel arrangements and providing support thereof. Perform internal and external office communication, email and miscellaneous written correspondence. Screen and route incoming telephone calls. Preparation of relevant reports for the executive team. Review, edit and format draft and finalized materials ensuring completeness. Schedule, plan and coordinate special events for the executive team and staff. Exercise good judgment in the receipt, processing, and response to important internal and external correspondence, inquiries and requests often of a time sensitive, critical and confidential nature. Assist the HR Manager with day to day functions which will include but will not be limited to : Organise and maintain the human resource filing system, ensuring accuracy and completeness of confidential personnel files and employee records. Ensure compliance with human resource policies and procedure. Maintains employee confidence and protect the organisation by keeping human resource information confidential. Assist with looking after the overall staff wellbeing within the company. Facilitate recruitment and on-boarding of new employees. Assists with compiling the relevant quarterly and annual reporting Other duties as assigned Qualifications, skills and experience Grade 12/Matric Relevant tertiary qualification At least 3 5 years prior administrative/secretarial experience in senior executive setting At least 2 3 years prior experience or understanding of human resources PC literate (Excel, Word, Outlook, SAP literate a distinct advantage)
