This position is a dual role focusing on buyer skills as well as experience in supervising bulk store. KEY PERFORMANCE AREA 1: Supplier maintenance Critical evaluation of supplier service, delivery lead times and quality on a continuous basis. Compare pricing of stock between current and competitive suppliers and suggest saving initiatives to line-manager. Make continuous purchase suggestions to line-manager based on informed market knowledge. Annual evaluation of suppliers’ statutory compliance (BBBEE, Tax Clearance, Company registration certificates) and making recommendations to line-manager. Ensure technical suppliers’ conformance within the Intercape Supplier Code of Conduct and Procurement Policy. Manage the supplier relationship with regards to effective and frequent communication. Ensuring timeous payment is made to supplier through correspondence with the Finance Department. KEY PERFORMANCE AREA 2: Purchasing Receive part request from workshop once approved by workshop manager or supervisor. Investigate the validity of parts requested by means of vehicle history, part number and physical verification of part needed. Obtain competitive quotations from suppliers. Negotiate best possible prices and payment terms. Weigh up possible parts’ supplier considerations and decide on the supplier to be used. Load requisition of the part on the MOVE system for approval by budget master. Send an authorised purchase order (B-number) to supplier by email to confirm the order Ensure timeous delivery or collection from supplier according to priority set for scheduled coaches Follow up on undelivered goods of your purchase orders as pointed out by the MOVE system Orders are placed according to stock level requirements (replenished stock). Drive the centralization of procurement and distribution KEY PERFORMANCE AREA 3: Stock control Monitor and control stock-count procedures. Ensure minimum stock levels of critical items are maintained (cleaning material, technical parts and consumables). Ensure physical stock balances with stock indicated on MOVE. Control stock of all assigned depots and offices. Monitoring of stock issued, transferred and received to balance with current stock on hand. KEY PERFORMANCE AREA 4: Reporting Communicate frequently to workshop managers regarding the availability of stock and lead time from suppliers. Monthly reporting on all depots and offices’ supported in terms of bulk cleaning materials and technical parts. Physical assessment of vehicle involved in incident or accident, compile costing of replacement parts assessed and compare quotations obtained in respect of repairing the vehicle. Daily monitoring of variances in consignment stores and reporting of inconsistencies to line-manager. Compile standard variance report for stores and analyze discrepancies. Reporting on weekly cycle counts. KEY PERFORMANCE AREA 5: Headrest Covers Timeously washing of head rest covers, curtains, etc. Monitor the proper folding and packing of head rest covers neatly according to the correct type and quantity for coaches. Issue washed head rest covers to Wash-bay. Receive dirty head rest covers from wash-bay. KEY PERFORMANCE AREA 6: Parcel Services Ensure weighing scales are maintained and calibrated in accordance with the industry standards and timelines. Calibration and service certificates are requested and timeously processed -Systems testing of all scales on a monthly basis. Ensure that shift rosters are completed on time and correct on a monthly basis -Monitoring of attendance of staff -Approval of unauthorized overtime. Ensure staff is well positioned and managed. Enforce compliance with the waybill policies and procedures. -Prevent fraudulent account activities (nationally) -Manage the security processes correctly Determine finalization of waybills and excess luggage. EXPERIENCE AND EDUCATIONAL REQUIREMENTS Grade 12 Minimum 5 years’ stock control and purchasing experience Computer literate Microsoft Office (Excel, Word and Powerpoint Intermediate Level) JOB RELATED REQUIREMENTS Have a proficient knowledge of the company, its divisions, associates, people products, service and website.
