Qualifications:

Matric + Secretarial or administration Diploma - completed
15 years in a Senior Administrative or Senior PA Role
Experience in Marking and events would be a great advantage

Essential Functions:

General Secretarial Function:

Screen calls and take messages
Typing, filing, binding, emailing and drafting of correspondences
Diary management for Senior Management
Travel arrangements for all staff
Full bookings of flights and accommodation for all personnel
Arrange visa's for all personnel
Correspondences with Customers
Correspondences with Suppliers
Correspondences with Dealers
Minute taking at Marketing meetings
Organising TSM meetings
Assisting Manager's with secretarial duties

General Administration Function:

Lead administration of Salesforce.com
Administration of Tender documents
Proforma invoices (creating & distributing)
Administrator for Facebook page
Annual renewal of subscriptions to magazines and software programmes

Provide Administration Support to Other Departments

Request and maintain stock of stationary for the company
Request quotes for exports from various service providers and complete Certificate of origin forms
Arrange road/sea and air freights exports which includes bookings and completing of road freight instructions and checking stacking dates
Arrange collections and sending shipping documents and contracts with courier services
Assisting with administration of Service School
updating , allocating training
Assisting with Technicial Department queries

Marketing & Events Management

Plan and arrange marketing and company events such as annual dealer conference. This includes invitations, venues, gifts and awards, menus, decorations, etc.
Check artwork for advertisments and proof read articles prior to placement
Select marketing and expo material
Select gifts and designing
Management of Exhibitions
Dealer conference
Tradeshows
Marketing Campaign: Dealer Launches, Ralley Days, Farmer Days
Sourcing of Marketing products for Dealers
