Job PurposeThis role will be accountable for providing efficient administrative services and support to the Regional Sales Director. The Regional Office Assistant will play a combined Receptionist and PA role and will be the first point of contact at a regional level.Job Functions Support

Key Accountabilities and OutputsFront Desk ManagementGreet and welcome guests upon arrival at the officeDirect visitors to the appropriate staff member and officeAnswer, screen and forward incoming phone callsEfficiently and accurately record and relay messagesEffectively deal with queries from the Public and CustomersEnsure reception area is constantly tidy and presentable, with all necessary stationery and materiasl (e.g. pens, forms and brochures)General AdministrationTimeously and accurately receive, sort and distribute daily mail/deliveriesMaintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)Monitor and Maintain Office EquipmentOrder office supplies (stationery and groceries) and keep inventory of stockKeep updated records of office expenses and costsPerform other clerical receptionist duties such as filing, photocopying, transcribing and faxingAssist with collections by and deliveries from courier services.Personal Assistant DutiesManage, coordinate, and maintain the calendar of the Regional Sales Director - including scheduling appointments, meetings, and travelEnsure the accurate and appropriate drafting and distribution of communications on behalf of the Regional Sales DirectorCo-ordinate meetings for the Regional Sales Director and organize cateringEnsure meeting minutes and action outcomes are timeously disseminated and followed uponSupport the Regional Director with the creation of accurate and timely reports and presentationsGeneral Operational ContributionsActively participate in operational planning and reporting processesDrive continuous improvement through streamlining and optimising relevant operational practices, processes and toolsAdhere to operational and financial frameworks of practices, processes, standards and controlsControl cost and take the necessary action to mitigate any financial risks or non-complianceBehavioural CompetenciesConflict ManagementAbility to openly addresses conflicts as they arise to ensure maintenance of strong relationshipsConsiders relevant information when resolving conflict.Demonstrates an understanding of all parties view-points.Takes a calm and objective approach when resolving conflict.Proposes suggestions which promote resolution to conflicts.Planning and OrganisingManages time effectively, ensuring effective completion of tasks under stressful deadlines.Able to prioritise activities and resources, ensuring that results are achieved effectively.Able to evaluate progress and make appropriate adjustments to initial plans, ensuring a successful outcome.Judgment and Decision MakingAble to gather information from a variety of sources.Understands cause and effect relationships within data and interprets this to make competing, holistic decisionsDevelops alternatives before making complex decisionsLooks for the most innovative, efficient and value adding solution when making a decisionMakes decisions in time and forecasts when decisions need to be madeFormulates a “big picture” understanding of the near-term impact of decisions (including the time and resources required to implement decision)Evaluates the longer term business impact of decisionsTakes initiative when making decisionsVerbal CommunicationAble to communicate verbally in a logical manner.Takes the intended audience into account when communicating verbal information.Makes use of appropriate business language in verbal communication.Includes all relevant information in verbal arguments.Demonstrates proficiency of language in verbal communication.Interprets complex information to expresses own viewpoint in verbal communication.Concludes verbal arguments by making reference to relevant factsCustomer RelationsAsks questions to identify customer needs or expectationsFollows through and meets personal commitments to others on timeTakes responsibilities seriously and consistently meets the clients’ expectations for quality, service, and professionalism.Continuously monitors delivery to make sure the customer is receiving good serviceShows a strong commitment to exceeding customer expectationsAble to own responsibility for mistakes, apologise and make suitable changes to servicesRequirements
