Matric (Grade 12) or equivalent qualification
Computer literacy is essential
Presentable and professional attitude
Excellent written and verbal communication skills (English)
At least 2 years’ experience handling a busy switchboard
Customer orientated behaviour is essential (callers, service providers, agents)
Duties and Responsibilities
Screen calls and route calls accurately.
Answering the telephone is a professional manner.
Take accurate messages and forward them timeously.
Welcoming visitors and redirecting them to the appropriate person.
Ensuring neat administration of:Reception area
Sorting and distribution of faxes
Courier documents and parcels as and when requested
Assist with other functions as per managers instructions
Screening and routing of incoming and outgoing mail – hand delivered (courier)
Knowledge, Experience and Skills
Must be patient.
Must at all times be diplomatic and assertive.
Above average verbal communication and listening skills.
Must be meticulous in carrying out tasks and instructions.
Ability to withstand pressure and provide above average services.
Ability to work independently and use initiative along with problem solving abilities.
Must be a good team player and achieve objectives as set out by the Reginal Secretary.
Knowledge of the Motor Industry Bargaining Council and its functions would be an advantage.
Ability to build strong effective relationships with all stakeholders, i.e. Parties of the council, clients and management team.
Adopt appropriate interpersonal style in achieving task accomplishment, modifying behaviour according to tasks and individuals involved.
