Duties and Responsibilities:
Administrative & Office Support:
Managing the swichboard and emails
Develop and maintain the general filing system
Assist in the planning and preparation of meetings, conferences and conference telephone calls
Maintain and monitor an adequate inventory of office suppliers
Respond to public inquiries
Provide secretarial support
Coordinate the repair and maintenance of office equipment
Calling out for quotations
Assist with compiling monthly traveling claims for engineers (when required)
Assist with arranging reservations flights, cars, and accommodation (when required)
Assist with and arrange for the printing of reports¸ presentation and correspondence
Preparing tender and database documents (when required)
Arrange for the purchase of tender document (when required)
Taking minutes in administration meeting (when required)

Client liaison:
Welcome, Greet and assist visitors and the general public
Ensure that refreshments are arranged for visitors

Team Effectiveness:
To contribute to an environment of teamwork and sharing

General duties:
Delegation of Authority
ISO procedures
Policies and administrative procedures

Job Requirements:
Qualifications:
Grade 12
Secretarial Diploma or equivalent

Knowledge & Experience:
At least 6 years’ experience in a similar position
Telephone Etiquette
Computer skills and knowledge of relevant software
Strong Interpersonal and Communications skills
Knowledge of operation of standard office equipment
Knowledge of clerical and administrative procedures and systems such as filing and record keeping
Knowledge of principles and practices of basic office management

Working Conditions:
May be required to travel
May deal with difficult clients & service providers
May be required to work extra time
