ENVIRONMENT:
Our client, a Cape Town based research, design and development firm with services that include hardware and software solutions is looking for a Procurement Assistant who will be responsible for undertaking day-to-day clerical duties, in support of the accountancy function and financial controls.
DUTIES:
General Financial Administration
Maintain a filing system in respect of accounting data, records, quotes and invoices
Ensure all filing is updated
Monitor telephone lines and accounts, and act as liaison between IT support and these vendors
Generate asset allocation, return forms and recons.
Allocating asset numbers to assets
Ensuring that the stock procedures are maintained by ensuring completion of stock movement forms and allocation of stock numbers to the various stock sheets
Maintain and update company Wiki
Make use of the company Wiki for all job-related processes and procedures
Update and maintain Smartsheet with all purchased stock (spec, price, stakeholder etc)
Relief duties for reception on office switchboard and at front desk
OTRS
Ensure your tickets are managed
Ensure your IT tracker feedback is submitted by deadline
Ensure proper updates and closing details are added to OTRS tickets
Ensure you stay within the predefined Service Level Agreement (SLA) times
Assist with various OTRS reports as requested by Manager
Ensure that the signed off recharges for all the Business units are received by Finance by the 5th working day of each month
Stock management for the various business units
Requirements
Grade 12 or equivalent certificate essential
Certificate in Bookkeeping/ Administration (advantage not a requirement)
Proficient skills in Microsoft applications, especially Word and Excel
Skills required
