Procurement Administrator

Key Responsibilities Supplier Sourcing & ManagementIdentify, evaluate, and engage suppliers and vendors for consumables.Negotiate prices, contracts, and payment terms.Monitor supplier performance and resolve disputes.Stay current on competitor pricing and market trends.Source alternative products and suppliers as needed. Purchasing & OrdersPlace and manage purchase orders based on forecasts and inventory levels.Track and follow up on orders to ensure timely delivery.Match purchase orders with delivery notes, GRNs, and invoices.Submit correct documentation to the creditors department for processing. Inventory & Stock ControlCollaborate with warehouse and inventory teams to maintain optimal stock levels.Monitor stock rotation and ensure compliance with storage and safety standards. Forecasting & PlanningWork closely with production and operations teams to forecast demand.Plan supply schedules to avoid stockouts or overstocking. Reporting & DocumentationMaintain accurate procurement records and supplier communication logs.Generate regular procurement, inventory, and supplier performance reports. Interdepartmental CoordinationLiaise with logistics, quality control, and production teams to ensure smooth operations.Troubleshoot supply chain issues and support process improvements. Cost ControlMonitor procurement spend and identify cost-saving opportunities.Conduct market research for informed buying decisions. Supplier & Product EvaluationAssess suppliers for reliability, quality, cost, and delivery consistency. Skills & RequirementsGrade 12 Certificate (Matric)Diploma/Degree in Procurement or Supply Chain ManagementDrivers License35 years of experience in procurement, inventory control, or supply chain managementManufacturing or distribution environment experience preferredProficient in ERP systems (Syspro advantageous)Intermediate to advanced Microsoft Office skills (Excel, Word, Outlook) Personal AttributesExcellent negotiation, coordination, and communication skillsStrong attention to detail and ability to meet deadlinesSelf-motivated, dependable, and accountableProfessional integrity and emotional maturityAble to thrive under pressure in a fast-paced environmentTeam player with leadership potential
