The core purpose of this role is the effective management of the office environment, administration and assistance to staff as well as to promote and enhance the image of the company.Job DescriptionReporting to the Executive Assistant to CEO, the candidate's responsibilities will include (but are not limited to):OBJECTIVESResponsible for the operation of the switchboard and directing all incoming callsReceive and welcome visitors for tours & meetingsOversee the reception area, meeting rooms, canteens, and office areasMaintain the meeting room diariesSet up meeting rooms for meetings and toursAssist staff members with ad hoc requestsManage office consumables, stationery & suppliesSupervise cleaning staffFacilityImplement security processesLog access for important clientsWelcome guests in a professional mannerAnswer the reception phoneDirect calls quickly, efficiently, and professionallyTake messages and ensure that staff members receive them in a timely mannerDirect clientsAssist with duties such as couriering items, etc.Working hours are from 8am-5pm with a 1-hour lunchJob RequirementsA flair for peopleProfessional demeanorPunctualityActive listening skillsAbility to communicate in EnglishAbility to work independently & be a positive team playerSelf-motivatedConduct oneself professionally with high levels of tolerance and patienceResponsible for continued learning and self-developmentTimely completion of all activitiesSwitchboard experienceExcellent telephone mannerQUALIFICATIONS AND EXPERIENCEMatric and 3-5 years relevant working experience
