Job Description:As an HR Administrator you will provide efficient administrative, and logistical support to the VUP (Venetia Underground Project) Ramp Up Recruitment Project team according to specified requirements and sound administrative practice.
Your role will include but not limited to:
Complete Request for Recruitment forms
Coordinate and send through the Person Job Specification and Duff Scott forms to Occupation Health team and Line manager for approval
Arrange medical appointments for candidates with relevant medical center
Book accommodation for candidates on the Concur system
Manage bookings for position relevant assessments (e.g. VTS assessments)
Liaise logistic arrangement details with candidates, keeping them abreast with any updates/changes to these arrangements (medical, accommodation, assessments)
Prepare offer letters, arrange for signatures internally and assist with ensuring all supporting documentation is in place prior to offer being made
Send all relevant documents to the candidate e.g. offer letter, sign-on documentation
Arrange on-site Covid screening, security, medical for new employees and manage bookings of site accommodation where applicable
Update recruitment agency spreadsheet by collecting data from HR Project team
Assist in scheduling necessary meetings for HR project team
Process travel/expense claim reimbursements through Concur in conjunction with Finance teams
Coordinate additional VUP Administration tasks as and when required
Qualifications:Grade 12 certificate
Relevant Diploma/Degree in Human Resources Management
Additional requirements:
2- 3 year’s work experience as a Recruitment Coordinator, HR administrator, or similar roles
SAP and MS Excel experience
Experience in database management, stakeholder engagement and liaising with third part suppliers on Assessments, Medicals etc
Manage communications with effectively and have excellent report writing skills
Experience in administrative support, travel arrangements
