Head of Project Management: BTL | Experiential Agency – Cape Town

A fabulous BTL Experiential agency in Cape Town has an exciting, multi-faceted role for a Head of Project Management. The role will see you managing the Project Management team. The successful candidate will be responsible for managing on-time, on-budget, profitable, high-quality deliverables for all projects (Events, Activations, Digital, Content, Print, Radio & Retail). Working closely with the Client Services team, the Head of Project Management sets the standard for seamless process and client management from project kick-off to completion and oversees execution of agreed process. Responsible for overseeing high-value client campaigns whilst assisting the Project Managers to plan and execute clear strategies and timelines for all client projects. You must have a direct interest in the successful and profitable completion of every client project. It is essential to note that this role has a diversity of responsibilities through project management, operations, management and finance. The incumbent must have previous experience working on multiple events and activations as this is key for the agency.
This position reports directly to the Managing Partner and works closely with all other departments in the Company.
Responsibilities

Project Management
Work with the Operations Manager & Traffic to ensure conceptual work is signed off with enough time to implement effectively
Manage the live project management process to ensure all campaigns are delivered to the highest possible standard while achieving all client objectives and delivering results
Develop comprehensive campaign plans from brief to final delivery, detailing the scope of work, resources required, deliverables, milestones, and deadlines
Ensure that the right amount of time is allocated to each job and ensure work is produced on time, to brief and on budget
Manage delivery of tasks by specialists (internal and external)
Work with the Creative teams to come up with innovative ideas and solutions to client strategies, business problems, challenges and briefs
Source, research and onboard all new suppliers
Develop and foster good relationships with all suppliers and external partners to ensure quality and innovative execution of all campaign
Understand the implications of changes to the scope in terms of costs, resourcing and deadlines
Communicate progress, risks, expectations, timelines, milestones, and other key project metrics to the teams
Raise red flags and proactively propose solutions when problems do arise

Operations
Be proficient on the Company’s operating system e.g., ensure that timesheets are kept up to date, maintain and update project plans and status etc.
Be organised in terms of managing the workload he/she is given and managing his/her system of filing and backing up of collateral

Management
Responsible for the growth, training, and development of direct reports and junior staff in the Project Management team
Oversee direct reports’ performance and time management and timeous execution of day-to-day outputs
Manage capacity within the team, flag resource issues when they arise and ensure deadlines are met
Lead by example and motivate and inspire good relationships within the Project Management team and the Company at large
Develop and maintain key performance indicators for all direct reports and ensure effective cascading of key performance indicators into the Project Management team

Finance
Manage the CE process to ensure all campaigns are delivering on creative concept within budget and margin e.g., collate all CEs on a job and produce project CE
Track cost and margins per project (ensure margin is correct)
Track hours spent on projects
Support the Operations Director with the reconciliation process – owning the reconciliation of hours per project
Track revenue, retainers and ensure job profitability based on internal and external usage of resource
Post-campaign, complete all project costs reconciliation and raise POs for external partners

Requirements

The successful candidate must have/be:
Previous working experience in multiple Events and Activations – essential
A great attitude is all important
A multi-skilled all-rounder
Exceptional Project Management skills.
