Financial AccountantLesotho3 Weeks in Lesotho / One week in SandtonPosition Statement:To actively oversee and complete the day-to-day operations and functions of all financial processes, transactions, reporting and processing for the business.Position Within the Company:The accountant shall report to the following (in order of seniority)•1st Level: Lodge General Manager•2nd Level: Company ShareholdersKnowledge And Skills Required:Minimum Grade 12 (with accounting)Tertiary accounting qualification is advantageous.At least 3 years' experience in an accounting environment, preferably in the hospitality or tourism sectors.Experienced in working on an electronic accounting system such as (but not limited to) Pastel, Accpac, SAGE accounting, QuickBooks, SAP accounting, etc.Duties And Responsibilities:Creditors•To ensure that any and all creditor invoices (inclusive of petty cash expenses) are processed within the relevant financial periods.•To process and allocate creditor payments against the relevant Creditor on the accounting system.•To ensure that any and all creditor statements are reconciled and balanced at all times.•To resolve any ad-hoc queries that may arise from any given creditor at any time.•To ensure that any and all invoices received (inclusive of petty cash expenses) were duly authorized prior to the expense being incurred, and that any and all non-compliant issues are highlighted and communicated to the Lodge General Manager.•To ensure that the Creditors Age Analysis is reviewed bi-weekly and that same (along with comments) is sent to the Lodge General Manager and Shareholders.•To highlight any concerns regarding creditors to the Lodge General Manager and Shareholders as they arise.•To review and reconcile all creditor ledgers on the balance sheet, including any associated clearing accounts.Debtors•To ensure that all debtor invoices are issued to clients within the relevant financial periods.•To ensure that month-end statements are sent to all clients.•To ensure that all debtor statements are reviewed and reconciled regularly.•To allocate debtor payments received against the relevant debtor's account.•To assist with and resolve any ad-hoc queries that may arise from debtors.•To actively manage and review all debtors' credit limits, and advise the Lodge General Manager and Shareholders if any debtor exceeds their limit.•To advise the Lodge General Manager and Shareholders of any potential bad debt.•To ensure that the debtors' age analysis is reviewed bi-weekly and that same (along with comments) are sent to the Lodge General Manager and Shareholders.•To highlight any concerns regarding debtors to the Lodge General Manager and Shareholders as they arise. •To review and reconcile all debtor ledgers on the balance sheet, including any associated clearing accounts.Cashbook / Cash Control•To process any and all cash book entries to the relevant ledgers in the accounting system.•To actively oversee and manage the issuance of petty cash to operational departments.•To ensure that all petty cash issued to operations is listed on the balance sheet.•To audit all petty cash (at least monthly) and communicate any shortages or overages to the Lodge General Manager and Shareholders.•To balance all bank accounts monthly and ensure that all balances listed on the balance sheet match the actual bank statements as of the end of the period.•To review and analyze all cash-ups received from operational departments.•To communicate any overages and shortages in cash-ups to the Lodge General Manager and Shareholders.•To prepare cash banking.•To ensure that cash is banked regularly as required.•To reconcile and review all ledgers associated with cash and bank on the balance sheet.Inventory Control•To audit monthly stock takes in the operational departments.•To assist with any ad-hoc inventory-related queries that may arise.•To review accuracy of stock sheets, including the method of counting, stock items, quantities, unit costs, stock value and count accuracy.•To process stock journals at month-end.•To review, draft and issue cost of sales reports for all relevant areas / departments, such as (but not limited to) food, beverage, retail, curios and the like.•To assist with the reconciliation and resolution of stock shortages and overages as required.Financial Reporting•To draft and issue management accounts for the previous accounting period by the 15th of the new period.•To draft and issue a 12-month financial forecast and cash flow forecast for the forthcoming 12-months by the 15th of the new period.•To draft and issue the creditors' age analysis, along with comments and concerns, to the Lodge General Manager and Shareholders by the 15th and last day of each month.•To draft and issue the debtors' age analysis, along with comments and concerns, to the Lodge General Manager and Shareholders by the 15th and last day of each month.Budgeting•To draft and issue a 12-month budget (for the new financial year) at least 60 days prior to the financial year-end of the current year, the budget to consist of:a.12-month operational (Opex) budget.b.12-month cash flow budget.c.12-month Capital Expenditure (Capex) budget.•Budgets to be compiled with the assistance of the Lodge General Manager and the operational team, and then to be presented and approved by the Shareholders.•Budget to be imported into the accounting system so as to generate monthly and year-to-date comparisons between actual financial results and budgeted results.Asset Register / Depreciation•To ensure that the asset register is updated and maintained at all times.•To process any and all acquisitions to the relevant ledgers.•To process any and all disposals to the relevant ledgers.•To calculate and process depreciation on a monthly basis.Annual Audit / Financial Year-End•To ensure that the financial statements of the company is in an accurate condition at year-end to facilitate a smooth external audit.•To assist the external auditors with any and all queries they may have regarding the financial statements of the company.
