Details of the offer

1. KEY PERFORMANCE AREAS
1.Provide Support to Stakeholders
1.1.Attend to stakeholder queries and provide feedback;
1.2.Maintain and establish relationship with internal and external stakeholder.
2.Finance Administration
2.1. Assess claims to ensure that all deliverables per contract are met before processing payment requisition;
2.2. Record, prepare and submit payment requisitions for payment and provide proof of payments to
stakeholders;
2.3. Ensure that records are kept for all unit research projects/contracts in a commitment schedule and are
updated accordingly;
2.4. Ensure that the Research and Knowledge Manager’s claims are processed and submitted to payroll for
payment monthly.
3.Research and Knowledge Administration
3.1Provide administrative and support function for all research projects;
3.2Create, update and maintain stakeholder database;
3.3Capture data using statistical programme such as Excel and SPSS;
3.4Collect data from chambers and units (for the purpose of research projects and reporting) and provide data to service providers;
3.5. Liaise with stakeholders to obtain research data and provide research data to service providers.
4.Procurement Administration
4.1. Capture procurement requests on the RFP system and follow up with SCM unit;
4.2. Administer all purchases and implement internal controls;
4.3. Coordinate travel arrangements and accommodation bookings for the unit and process
payments of claims.
5.Office Administration
5.1. Assist with the diary management of the Research and Knowledge Manager;
5.2. Coordinate meetings, appointments and events including minute taking;
5.3. Ordering of stationery and office equipment in the unit;
5.4. Overall administrative support to the unit.
6.Document Management
6.1. Assist with ensuring and maintaining an effective and accurate electronic and manual document
management system for easy retrieval;
6.2. Uploading documents for e-signatures and filing of documents on Papertrail;
6.3. Records all incoming correspondences/ documents.
Job Requirements:

2. MINIMUM REQUIREMENTS
2.1. Experience and qualification
•M +3 relevant tertiary qualifications in Business Administrator/Office Management or relevant qualifications;
•Minimum of at least 3 years’ experience in administration support, 1 years of which should be experience in Research and Knowledge environment;
•Exposure in Skills Development Environment;
•Public sector experience will be an advantage.
2.2. Knowledge and skills
2.2.1. Knowledge and understanding of;
•Research methodologies;
•Data and records management knowledge;
•Office administration;
•SETAs;
•The following legislations - Skills Development Act, Skills Development Levies Act, National Skills Development Plan, Public Finance Management Act, Protection of Personal Information Act and
South African Qualification Authority and other related legislation.
2.2.2. Skills
•Good interpersonal skills (both written and verbal);
•Ability to work independently, work under pressure and meet deadlines;
•Administration and project management skills;
•Analytical and problem solving skills;
•Computer skills including: MS Word, MS Excel, MS PowerPoint, MS Outlook.
